Who we are
The data controller is UK Property Check. You can contact us at support@ukpropertycheck.co.uk.
Information about homes and the people who live in them
Some of the public records we use are about a specific address, so they can be personal data about the people who live there. This section explains how we use them.
- What it is: the address, the unique property reference number (UPRN) and its map position, and each sale's price, date, property type and tenure.
- From each energy certificate: the rating and score, floor area, property type, construction age band, estimated energy costs and why it was made, such as a sale or a rental.
- For a home you check: we also fetch its certificates from the register, which add the heating, walls, roof, windows, number of rooms and recommended improvements.
- Fields we are removing: our copy of the register also holds fields we do not need, such as the certificate's tenure (owner-occupied or rented), room counts and fabric descriptions. They go at the next monthly refresh.
- Where it comes from: the energy certificate register (MHCLG), HM Land Registry Price Paid Data and its UPRN look-up table, Ordnance Survey OS Open UPRN and the government's planning data service.
- What we use it for: showing the records for a home you ask us to check, and publishing statistics about energy ratings and house prices for areas.
- Next to a check, and on the sold prices page: recent sales nearby, with their addresses and prices, each linked to that home's own check. A check also gives an index estimate of the home's last sale.
- What we publish: sale prices with their addresses, as HM Land Registry permits for house price information. Our public pages show certificate data only as totals for an area.
- When you check a home: we show you its certificate details, including up to three recommended improvements and, for a certificate up to 3 years old, the running-cost estimate, on a page search engines are told not to index.
- Why we are allowed to: our legitimate interest, and the public's, in helping home buyers understand a home before they offer. We have weighed this against the interests of the people who live there.
- How long we keep it: we hold copies of the certificate register and Price Paid Data, and replace them when the publishers release new versions.
- Test data: we also hold an address-matched copy of sales made to test our method. It is not used on the site, and we will delete it by 15 January 2027 unless the publishers confirm in writing that we may use it.
A withdrawn certificate leaves our copy and our checks within two days of MHCLG recording the removal, once our daily check of removals is running. Until then, it leaves our copy at the next monthly refresh and our checks within 30 days.
Your right to object
If any of these records are about you, you can object to how we use them. Email support@ukpropertycheck.co.uk or use our contact form, with the address.
We will stop unless we have a compelling reason that outweighs your interests, and tell you either way within one month.
For an energy certificate, we can stop showing that home's certificate details in our checks. You can also ask for your certificate to be withheld from the official register on GOV.UK.
Sale records come from HM Land Registry, which publishes the Price Paid Data. We can stop showing a sale on our pages, but it will stay in HM Land Registry's data, so you can also contact HM Land Registry about it.
When you use a free check or a tool
The postcode, house number or name, and any asking price or floor area you enter are sent to our server in the page address. We use them to look up the records for that home, and we do not ask who you are.
To find the records, our server sends government data services the postcode, the home's property reference and certificate number, and its map position. It never sends them anything about you.
The map position goes to the government's planning data service. We look up flood risk and recorded flooding in our own copy of the Environment Agency and Natural Resources Wales data, and send them the map position only while that copy is missing. Road and rail noise works the same way: we use our own copy of the Defra and Welsh Government noise maps, and send the map position to their map services only while that copy is missing. Radon, crime, schools, broadband and council tax come from our own copies, so nothing is sent for them.
For recorded flooding we show only the month and year, the source of the water and any storm name from a fixed list of named storms. We never show a flood record's own name, which can include an address.
We keep copies of the records we fetch for up to 30 days (7 days for planning answers), so checks are quick and we do not overload those services. The tax calculators work out the result from the price you enter, and we do not store it.
Server and network logs
Our server records each page you request, with your IP address, to keep the site secure and working.
Its access log leaves out the part of the address after the question mark, so the postcode and house number you check are not recorded there.
If a request fails while our web server is passing it to the site's code, the server's error log can record the full address, including what you typed. We keep both logs for 90 days, and we do not use them to build a profile of you.
Cloudflare, which delivers our pages, also processes these requests, including the full page address, to deliver and protect the site. It does this as our processor, under its data processing addendum.
Cloudflare's own privacy policy says it is a controller in its own right for some information about visitors, such as data it uses to identify and block malicious traffic.
What is stored on your device
We do not use cookies or any other technology for advertising or analytics, and there are no third-party scripts on this site. These are the only things we store on your device, and only when you use the feature:
| Name | Type | What it is for | How long |
|---|---|---|---|
theme | Browser storage | Your choice of light or dark theme | Until you clear it |
ukpc-viewing-v1 | Browser storage | Your viewing checklist for each home: its address, a link to its free check, the questions the check raised, and your answers and notes | Until you clear them in the checklist or your browser |
ukpc-questions-v1 | Browser storage | Your questions for the agent, kept for each home with its address and a link to its free check | Until you clear them |
ukpc-saved-v1 | Browser storage | The homes you save from a free check: the address and postcode, the page address, any asking price and floor area you entered, the energy rating, the last sale and the asking price's gap to it, the flood risk band, the price verdict, the number and titles of the things that stand out, the type of home compared for a saved "compare anyway" result, the date you saved it and a version number for the saved format | Until you remove them or clear the list |
ukpc-offline-v4 | Offline copy (service worker cache) | Copies of the viewing checklist, your question list, your saved homes page, the free checks you saved and the styles and scripts they need, so they open without a signal | Replaced when a page changes; removed when you unsave a home or clear it in your browser settings |
None of this is sent to us, except that saving a check for offline use loads that check from our server once more, as opening it would. If you create a share link for a checklist, your answers travel inside the link, so anyone you send it to can see them.
When you contact us
We keep your name, email address, the home's address if you give it, and your message, so we can reply. Our support mailbox keeps your messages and our replies for two years, then we delete them.
We also record the IP address a message came from, to stop automated abuse of the form. We clear it after seven days.
Why we are allowed to use your information
- Answering checks, replying to messages, keeping logs and holding copies of public records are our legitimate interests in running the service, which we have weighed against your rights.
Who we share it with
We use other companies to run the site: a hosting provider, Cloudflare to deliver our pages securely and an email delivery service.
They act on our instructions under contract, except that Cloudflare uses some security information for its own purposes, as described under server and network logs.
Some of these providers process information outside the UK. Where they do, they rely on the UK's data adequacy regulations, including the UK-US data bridge, or on the International Data Transfer Addendum.
We do not sell your information or share it for marketing.
Your rights
You can ask for a copy of the information we hold about you, and ask us to correct it, delete it, restrict how we use it or, where it applies, give it to you in a portable format. Email support@ukpropertycheck.co.uk and we will reply within one month.
Automated decisions
We do not make decisions about you by automated means. The flags and price verdict describe a home's records, not you.
Data protection complaints
If you are unhappy with how we have handled your information, you can complain to us by email to support@ukpropertycheck.co.uk or through our contact form.
We acknowledge it within 30 days, keep you informed of progress, and tell you the outcome without undue delay.
If you object or complain, we keep a record of it: an objection for as long as we use the registers, so it keeps being honoured, and a complaint for two years after it is closed.
You can also complain to the regulator, the Information Commission (it still uses the name ICO and the website ico.org.uk). Use its online complaint service or call 0303 123 1113.
Changes to this notice
If we change how we use information, we will update this notice and the date at the top.
